How to Tell a Client Their Premium Is Going Up

A rate increase is one of the harder conversations in insurance. How you deliver the news determines whether the client stays or starts shopping.

Rate increases are part of the business. Carriers adjust, markets shift, and premiums go up. Most clients understand this in the abstract — what they do not understand is why it is happening to them, now, without warning.

How you handle that moment does more for retention than almost anything else you do all year.

Lead with context, not the number

Most agents make the mistake of opening with the new premium. The client hears the number, does the math in their head, and tunes out everything after.

Start instead with what changed and why. Carriers respond to claim costs, weather events, and market conditions that affect policies broadly — not just theirs. When clients understand the context first, the number lands differently. They are less likely to feel singled out and more likely to hear what you say next.

Give them something to do with the information

A rate increase with no options is just bad news. A rate increase with options is a conversation.

Walk through what adjustments are available — deductible changes, coverage modifications, bundling discounts. Even if none of them make sense for the client right now, reviewing the options signals that you are looking out for their situation, not just delivering a form letter.

Reach out before the renewal notice does

The worst version of this conversation is one the client starts after seeing the new premium on a renewal notice. At that point they feel surprised, and they have had time to feel frustrated without you in the picture.

A proactive call or text a few weeks ahead changes the dynamic entirely. You are the one who flagged it, explained it, and offered to help. That is a very different agency than the one that let the notice do the talking.
